Installation & activation

Install Billit Invoicing from the marketplace, either on a single account or across your whole company.

If you install at the company level, we're not told which account to activate. After install, you'll land on an "Activate account" screen where you enter the Location ID of the account you want to enable. You can find that ID in your CRM under Settings → Business Info. Repeat this step for every account you want to use the app on.

Connecting Billit.eu

This requires your own separate, paid Billit.eu account. You purchase and manage that account directly with Billit.eu; it isn't included in our pricing and isn't billed through us.

Open the app's Settings page and add two values from your Billit.eu account:

We verify both values against Billit.eu as soon as you save, so you'll know right away if either one is wrong.

Setting up the workflow action

In any workflow, add the "Create Invoice" custom action right after the step where a payment or order completes. The action needs a single field, the transaction ID, which is filled in automatically via the {{payment.transaction_id}} merge tag.

From that point on, every time the workflow runs for a completed, live payment, Billit Invoicing creates the matching invoice automatically. Test payments are logged separately and never create a real invoice.

VAT mapping & B2C invoices

On the Settings page, you can map a custom field in your CRM that holds your customer's VAT number. Once mapped, invoices for customers with a VAT number are sent automatically over Peppol.

If no field is mapped, or a specific customer has no VAT number filled in, the invoice is created and sent by email instead. You can also switch on "Disable email sending to individuals (B2C)" if you'd rather not automatically email invoices to consumers, in which case the invoice is still created and marked as paid, just not sent.

Invoice statuses & retrying

Every invoice attempt is logged on the dashboard with one of the following statuses:

For anything marked "Needs review" or "Error", the dashboard offers three actions: Retry (try again with the same settings), Send without VAT (B2C) (create the invoice without a VAT number, delivered by email), and Manually resolved (mark it as handled, for example if you created the invoice directly in Billit.eu yourself).

If a payment comes from a wallet top-up (SaaS Mode) rather than a regular order, it's also flagged as "Needs review". This kind of payment can't be invoiced automatically: your CRM doesn't include a VAT rate for it, and without one we can't reliably choose it ourselves. Since there's also no order to retry, the dashboard shows a VAT rate dropdown instead. Pick the applicable rate yourself and click Create invoice to create the invoice with that rate and send it to Billit, using that payment's amount and contact details.

Changes to running subscriptions

When you change the price of a running subscription, the underlying order in your CRM platform keeps the original price while the payment is taken at the new amount. The app therefore compares every invoice amount against what was actually charged.

If they differ, the invoice is built from the payment itself rather than from the order, using the product's VAT rate. The invoice log then carries a note stating the rate that was used, so it is always clear why the amount differed. You do not need to do anything: changing prices simply works.

There are two cases where this deliberately does not happen automatically, and the payment is blocked with a message instead:

Create that invoice directly in Billit and then mark the line as "Manually resolved".

If the first payment of a subscription includes a one-off setup fee, that fee is part of the order total but not of the individual product lines. The invoice is therefore created for the full amount paid, setup fee included, on a single line.

Changing the product on a running subscription? The original product description stays on the invoice. The order in your CRM platform is a snapshot taken when the subscription was created and is never updated afterwards: the new product does not appear in it anywhere. The amount on the invoice is still correct, because that comes from the payment itself.

So cancel the running subscription and create a new one whenever you want to assign a different product or a different VAT rate. That is the only way to keep both the description and the VAT rate correct on the invoice. If the VAT rate changes on a running subscription, both the order and the VAT reporting still report the old rate, so the app cannot see the change.

Getting notified of problems

Add a notification email on the Settings page, and we'll email it automatically whenever an invoice needs your attention, such as an invalid VAT number, a missing email address, or a send failure. No workflow or automation setup required: it starts working the moment you save an email address, and stops if you clear the field. Each email links straight back to the relevant entry in your dashboard.

You can add more than one address by separating them with a comma, for example if you also want your bookkeeper to be notified.

Plans & billing

Every plan includes a set number of invoices per month. Once you go over that, additional invoices are billed per invoice at your plan's overage rate. There's no setup fee and no separate invoice from us: overage is billed straight through your CRM account, using your CRM's own billing.

Your current plan and usage this month are shown on the dashboard. You can change or cancel your plan at any time from the "Manage subscription" link there, which takes you to your app's subscription settings.

Troubleshooting & support

Most issues show up directly on the dashboard as a "Needs review" or "Error" status with an explanation. If something looks wrong that the dashboard doesn't explain, or you have any other question, reach us at info@yanisdm.com.

Changelog

Version 1.4.3 · October 17, 2026
Billit Invoicing is now offered under the name Yanis DM. The terms and privacy policy have been updated with the new name, address and the contact address info@yanisdm.com. Nothing changes in how the app works.

Version 1.4.2 · September 28, 2026
The "Retry" button in the invoice log did not check the amount, so a retry could still invoice the order amount instead of the amount actually paid. That button now follows the same check as the automatic flow. The documentation also explains how the app handles one-off setup fees and a product change on a running subscription: see the chapter "Changes to running subscriptions".

Version 1.4.1 · September 28, 2026
A price change on a subscription was not always handled automatically. Your CRM platform can report three different amounts for a single payment: the original price on the order, a previously used price in the VAT reporting, and the amount actually charged. In that case the payment was blocked. The invoice is now built from the amount actually charged, using the product's VAT rate, and that rate is stated in the note on the invoice. Orders with several products or several VAT rates stay blocked on purpose, and there is a new chapter "Price changes on subscriptions" covering the details.

Version 1.4.0 · September 17, 2026
When you change the price of a running subscription, your CRM platform keeps the original price on the underlying order while the new amount is actually charged. That could produce an invoice for a different amount than the customer paid. The invoice amount is now always checked against what was actually charged. When it does not match, the invoice is built from the payment itself, including the correct VAT rate. If an order has several products or several VAT rates, there is no way to tell which product changed: that payment is blocked with a clear message, so no document ever goes out for the wrong amount. Also: a VAT rate that does not exist in Belgium is now rejected instead of silently set to 21%, error messages in the dashboard and the notification emails read better, and your Billit API key is no longer sent back to your browser.

Version 1.3.1 · September 2, 2026
A trial period would sometimes still produce an invoice for the full subscription price, even though nothing was actually charged for that first payment, regardless of how long the trial lasted. Such transactions now appear in the log as "Trial - no charge" and are no longer sent to Billit.

Version 1.3.0 · August 27, 2026
Payments made against an invoice you created in the CRM itself no longer fail. They appear in the log as "Invoiced in CRM", with the invoice number included, and are deliberately not sent to Billit: that invoice already exists there with its own number, and a second document for the same sale doesn't belong in your accounting.

Version 1.2.0 · August 17, 2026
Payments from a wallet top-up (SaaS Mode) no longer fail. They're flagged as "Needs review" with a VAT rate dropdown, so you can still create the invoice.

Version 1.1.0 · July 30, 2026
Billit Invoicing is now publicly available on the marketplace after being thoroughly tested as a private app. New: automatic notifications when something needs attention, clearer per-plan pricing, and various dashboard/settings improvements.
